What to collect at commercial fitout handover

A checklist for the final walk-through, operating information, warranties and opening readiness.

Daniros, Winmalee — counter, pendant lighting and dining area.

Agree what completion needs to cover.

Set handover expectations before the final week. List the agreed scope, tests, inspections and documents that apply to the project. Confirm responsibilities for relevant approvals, certification, landlord requirements and client equipment so no item is left with an assumed owner.

Build a close-out schedule with the contractor and operators. Include dates for service testing, client training, final cleaning, stock or furniture installation and the intended opening.

Walk the space in the order it will be used.

Check the entry, circulation, work areas, storage and service areas with the people who will use them. Where an item needs attention, record its location, a clear description, responsibility and target date. Distinguish work still required for agreed completion from follow-up items.

Ask the relevant specialists to demonstrate the systems they have installed. Confirm how to access equipment, isolate services where appropriate and arrange scheduled maintenance.

Keep a handover record that can be used later.

Assemble the relevant drawings, test records, manuals, warranties, finishes schedule and supplier contacts. Record keys and access arrangements through the agreed process. Give the operator one place to find the information and know who to contact for follow-up.

Confirm how outstanding items are closed and how issues are raised after occupancy. A short review after opening can identify adjustments that help the space operate as intended.
